Dashboard User Manual - Complete Guide

Welcome to WorkPro Dashboard

This is your comprehensive guide to using the WorkPro Dashboard. Whether you're entering work data, reviewing reports, or managing approvals, you'll find everything you need here.


Getting Started

System Requirements

  • Modern web browser (Chrome, Firefox, Safari, Edge)
  • JavaScript enabled
  • Screen resolution 1024x768 or higher
  • Internet connection

Login & Authentication

Accessing the Dashboard

  1. Open your web browser
  2. Navigate to your WorkPro Dashboard URL
  3. Enter your credentials
  4. Click "Login"

Forgotten Password

  • Click "Forgot Password" on the login page
  • Enter your email address
  • Follow the instructions sent to your email
  • Create a new password and login

First Time Setup

  • Your administrator will provide you with initial credentials
  • Change your password on first login
  • Complete your profile information
  • Set your preferences

Dashboard Overview

Main Components

Header Navigation

The header bar at the top contains:

  • WorkPro Logo - Click to return to dashboard home
  • Current Page - Shows the page you're currently viewing
  • User Menu - Profile, settings, logout options

Sidebar Navigation

The left sidebar provides quick access to:

  • Dashboard
  • Work Entry
  • Reports
  • BOQ Management
  • Administration (if authorized)
  • User Profile

Main Content Area

The central area displays:

  • Current page content
  • Forms and data
  • Reports and analytics
  • Status information

User Roles & Permissions

Available Roles

Role Responsibilities Permissions
Data Entry Operator Enter work data daily Create work entries, View own entries
Supervisor Review and approve work Approve/reject entries, View team entries
Administrator Manage system Full access, User management, Settings
Manager Track progress and reporting View all reports, Analytics, Export data

Role-Based Access

Your access to features depends on your assigned role. If you don't see a feature, contact your administrator.


Navigation & Interface

Breadcrumb Navigation

The breadcrumb trail at the top shows:

  • Current location in the system
  • Clickable links to parent pages
  • Helps you understand where you are

Example: Dashboard > Work Entry > New Entry

Main Menu

Click the menu icon to access:

  • Dashboard Home
  • Work Management
  • Reports
  • Administration
  • User Profile
  • Settings

Search & Filters

Many pages include search and filter options:

  • Search by text or keywords
  • Filter by date, status, or category
  • Apply multiple filters simultaneously

Work Entry Management

Creating a New Work Entry

Step 1: Access Work Entry

  1. Click "Work Entry" in the sidebar
  2. Click "New Entry" button
  3. The work entry form appears

Step 2: Select Distribution Center

  • Click the "Distribution Center" dropdown
  • Select from available centers
  • Activities dropdown automatically updates

Step 3: Select Activity

  • Choose the activity for this work
  • Schedules dropdown updates
  • Only activities for the selected DC appear

Step 4: Select Schedule

  • Choose the work schedule
  • Feeders dropdown updates
  • Only available schedules appear

Step 5: Select Feeder

  • Choose the feeder/line
  • Items dropdown updates
  • Shows available feeders for the schedule

Step 6: Select Item

  • Choose the work item
  • BOQ statistics appear automatically
  • Quantity fields populate

Step 7: Enter Quantity

  • Total Qty (BOQ): Auto-populated from BOQ, read-only
  • Done Qty: Auto-populated from BOQ, read-only
  • Quantity to Enter: Maximum allowed is the pending quantity
  • Notes: Add any relevant notes

Step 8: Upload Photos (Optional)

  • Click "Upload Photo" button
  • Select image file (JPG, PNG format)
  • Maximum file size: 5MB
  • Photo is attached to the entry

Step 9: Review & Submit

  • Check the "Selection Summary" section
  • Verify all information is correct
  • Click "Save & Submit"
  • Entry is sent for approval

Editing Existing Entries

Before Approval

  1. Go to "Work Entries" > "My Entries"
  2. Find the entry you want to edit
  3. Click "Edit" button
  4. Make changes
  5. Click "Save"

After Approval

  • Entries cannot be edited after approval
  • Contact your supervisor for corrections

Viewing Work History

  1. Go to "Work Entries" section
  2. Select "My Entries", "All Entries", or "Team Entries"
  3. View the list of entries
  4. Click on an entry to see details
  5. View attached photos and notes

Work Quantity Management

Understanding BOQ (Bill of Quantities)

BOQ represents the planned quantities for each work item:

  • Total Qty: Total planned quantity from BOQ
  • Done Qty: Already completed quantity
  • Pending Qty: Remaining to be done = (Total - Done)

BOQ Statistics

When you select an item, the BOQ statistics display:

Field Meaning From
BOQ Total planned quantity BOQ table
Completed Already done quantity BOQ table
Awaiting Pending approvals Work table
Remaining Can still be done Calculation

Quantity Restrictions

  • You can only enter up to the Remaining Qty
  • Cannot exceed planned BOQ
  • System prevents overselling
  • Validation happens in real-time

Quantity Calculation Example

Total BOQ:        100 units
Already Done:      35 units
Pending Approval:   5 units
Current Session:    ? (can enter up to 60)

Photo & Documentation Upload

Uploading Work Photos

Step 1: Click Upload Photo

  • Located in the Work Entry form
  • Click the photo upload area
  • File browser opens

Step 2: Select Photo

  • Choose image from your computer
  • Supported formats: JPG, JPEG, PNG
  • Maximum size: 5MB

Step 3: Verification

  • Photo appears in preview
  • System verifies format and size
  • Confirmation message shows

Step 4: Submit Entry

  • Photo is included with work entry
  • Will be stored with the work record
  • Visible in approval process

Photo Requirements

Requirement Specification

Max Size 5MB
Resolution Minimum 800x600 pixels
Quality Clear and legible
Content Evidence of completed work

Troubleshooting Photo Uploads

Issue: Photo won't upload

  • Solution: Check file size is under 5MB
  • Solution: Verify file format is JPG or PNG

Issue: "Invalid file format" message

  • Solution: Photo must be JPG or PNG
  • Solution: Don't upload other file types

Issue: Upload fails with error

  • Solution: Try a different photo
  • Solution: Refresh the page and retry
  • Solution: Contact support if persists

Reporting & Analytics

Dashboard Reports

Accessing Reports

  1. Click "Reports" in the sidebar
  2. Select report type:
    • Daily Work Summary
    • Weekly Progress
    • Monthly Analytics
    • Performance Metrics

Report Filters

All reports support filtering by:

  • Date Range: Select start and end dates
  • Distribution Center: Filter by DC
  • Activity: Specific activities
  • Status: Approved, Pending, Completed
  • User/Team: Specific users or teams

Generating Reports

  1. Select report type
  2. Set desired filters
  3. Choose date range
  4. Click "Generate"
  5. Report loads with filtered data

Exporting Report Data

  1. Open any report
  2. Click "Export" button
  3. Select format:
    • PDF - For printing
    • Excel - For analysis
    • CSV - For data processing
  4. File downloads to your computer

Daily Work Summary Report

What It Shows

  • Work entries for selected date range
  • Summary by activity, feeder, item
  • Completion percentages
  • Team performance
  • Approval status

Work Approval Process

Understanding Approvals

Approval Workflow

  1. Submission - Entry submitted by data operator
  2. Review - Supervisor reviews entry
  3. Approval - Supervisor approves or rejects
  4. Completion - Entry marked complete or rejected
  5. Archival - Historical record maintained

Pending Approvals

Viewing Pending Approvals (Supervisors)

  1. Click "Approvals" in sidebar
  2. View list of pending work entries
  3. Shows submitter name, date, items

Approving Work

  1. Click on pending entry
  2. Review all details:
    • Work selections
    • Quantities entered
    • Attached photos
    • Notes and remarks
  3. Click "Approve" to accept
  4. Work entry status changes to "Approved"

Rejecting Work

  1. Click on pending entry
  2. Review the information
  3. Click "Reject" button
  4. Add reason for rejection (optional)
  5. Click "Confirm Rejection"
  6. Entry returns for corrections

Approval Status Tracking

Status Indicators

  • Submitted - Waiting for review
  • Approved - Accepted by supervisor
  • Rejected - Returned for corrections
  • Completed - Final status

Viewing Status History

  1. Open any work entry
  2. Scroll to "Status History" section
  3. See all changes and approvals
  4. View approver name and timestamp

BOQ Management

Bill of Quantities Overview

What is BOQ?

  • Planned list of work items
  • Quantities to be completed
  • Progress tracking baseline
  • Budget and timeline reference

Accessing BOQ

  1. Click "BOQ" in sidebar
  2. View current BOQ list
  3. Search or filter as needed

BOQ Statistics

Statistics Display

  • Total Planned: Items yet to start
  • In Progress: Currently being worked
  • Completed: Already finished
  • Completion %: Progress indicator
  • Remaining Days: Timeline info

Understanding Progress

  • Green bar = Complete
  • Yellow bar = In progress
  • Red bar = At risk
  • Progress updates in real-time

BOQ Status Monitoring

Current Status

  • Scheduled - Not yet started
  • Active - Currently in progress
  • On Track - Meeting timeline
  • At Risk - Behind schedule
  • Completed - All work done

Data Entry Best Practices

Accuracy

  • Double-check all selections before submitting
  • Verify quantities match actual work
  • Review photo evidence

  • Enter data daily, not at end of week
  • Submit by end of work day
